Privacy Policy
Vivenly (formerly ViviSync) is a family coordination app for parents, step-parents and caregivers. It is operated by ViviSync, LLC, a Texas limited liability company ("we", "our" or "us"). This policy explains what information the app collects, how we use it, who can see it and how long it is kept. It applies to the Vivenly iPhone app and to this website.
1. Information we collect
We collect information you and other adults in your family enter, files you upload, and technical information the app or your web browser sends automatically.
- Account information: name, email address, sign-in method and profile photo.
- Family information: tasks, handoffs, expenses, receipts, Vault documents, messages, custody calendar entries and dispute notes.
- Child information entered by adults: names, birth dates, schools, health details such as allergies, medications, doctor and blood type, and emergency contacts.
- Calendar: if you connect a calendar, its name and identifier. Events are read on your device to show on the Today screen and are not uploaded.
- Activity status: earlier versions of the app recorded when you were last active, and other family members could see it. The current version no longer records or shows it.
- Activity log: a record of actions in the app, such as adding an expense, with the name of the person who did it.
- Device and technical information: device type, iOS version, a notification token, the app and device identifiers our service providers use to tell devices apart, and the IP address your device uses to reach our servers. Crash reports and diagnostics are collected through our service providers.
- Purchases: your subscription status and purchase history, which we receive from Apple and RevenueCat. We do not receive your payment card details.
- Website visitors: this website is delivered through Cloudflare. When you visit, Cloudflare receives the technical information your browser sends with every request, such as your IP address, the page you asked for, your browser type and the time, and uses it to serve the site and block attacks. Cloudflare keeps this traffic data for a limited time and shows us only sampled, summarized statistics. The website has no sign-up forms, sets no cookies of its own and uses no analytics or advertising services. Cloudflare sets a cookie only if it first has to check that a visitor is a person and not an automated program.
The app does not request access to your device's location. The app does not include advertising.
2. How we use your information
- To provide and improve Vivenly's features and sync your family's information across devices
- To show family members the information their role allows
- To send notifications about tasks, handoffs and family activity
- To read receipt images when you start a receipt scan
- To process subscriptions through Apple's App Store
- To investigate crashes and fix problems
- To keep accounts secure and check that requests come from the real app
- To review reports of objectionable content
- To answer your support requests
3. How information is shared
We do not sell your personal information or share it with advertisers. We share it in these ways:
- With other members of your family, based on their role and sharing permissions. Parents, step-parents and caregivers see different information.
- With the service providers listed below, so they can run parts of the app for us. They may use it only to provide those services, and their terms require them to protect it at least as well as this policy describes.
- When you choose Sign in with Apple or Google, Apple or Google also handles your sign-in under its own privacy policy.
- When the law requires it, for example in response to a valid subpoena or court order, or to protect someone's safety.
You control whether to export and share records. After you share or save an export outside Vivenly, its handling depends on the people and services that receive it. Review exports before sharing them.
4. Our service providers
- Firebase (Google): sign-in, database, file storage, server processing, app security checks and notifications
- Firebase Crashlytics (Google): crash reports and technical diagnostics to help investigate app failures
- Google Cloud Vision: reads the text on receipt images when you start a receipt scan after allowing it
- Google Sign-In: if you choose to sign in with Google, Google receives your sign-in details and some device and usage information
- Apple: App Store payments, push notification delivery, app security checks, and Sign in with Apple when you choose it
- RevenueCat: subscription management and purchase history associated with your account
- Zoho Mail: our email service, used for support emails and for alerts about reported content
- Cloudflare: delivers this website and protects it from attacks
5. Receipt scanning
Receipt scanning is optional. The first time you start a scan, the app asks for your permission. If you allow it, the receipt photo you take or choose is uploaded to our cloud service and sent to Google Cloud Vision, a third-party AI service, which reads text such as the store name, date and total. You can always enter expense details yourself instead.
Receipt scanning makes a temporary copy of your receipt image. We try to delete it right after the scan. Any copy left behind is set to be deleted automatically after 1 day, though this can take longer. The scanned image is also attached to the expense. If you save the expense with it, that receipt stays with the expense.
6. Photos and location
When you choose a photo to upload, the app removes location data saved inside the photo. If it cannot, the photo is not uploaded. PDFs and Word files are uploaded unchanged and may include location data. Files uploaded before this update are not changed.
7. Data retention and account deletion
There is no automatic deletion schedule for family records. Messages and the activity log cannot be deleted in the app. A deleted expense stays in the record, marked as deleted, and its receipt image is removed.
When you delete your account:
- Your access ends and your sign-in account is deleted.
- Your profile shows "Deleted account", and your email address and profile details are removed from it.
- Your profile photo and its stored file are deleted.
- Records are not deleted. This includes shared records, messages, files, child records and the activity log. Family members who have access can still see them, and your name may still appear in them.
- If no one else in the family has access, these records are still not deleted automatically.
- Our copy of your subscription records is deleted. Purchase records kept by Apple and RevenueCat are not deleted.
Deleting your account does not cancel an App Store subscription. To cancel, open Settings on your iPhone, tap your name, then tap Subscriptions.
Backups: after information is changed or deleted, earlier copies can stay in our backups for up to 7 days. This covers database records and files the app deletes, such as Vault documents, receipts and profile photos. Backups cannot bring back a deleted account.
8. Security
Our cloud provider encrypts your data while it is sent and while it is stored. The app does not add its own separate encryption. Who in your family can see what depends on account roles, sharing permissions and security rules. The people who operate Vivenly can access family records when needed to run the service, investigate a report or answer a support request.
Vault documents open in Apple's Quick Look preview. Anyone in your family who can open a document can save or share a copy from that preview, so share sensitive records only with people who need them.
No method of storing or sending information is completely secure. If we learn of a breach that affects your information, we will notify you as the law requires.
9. Your choices
- Delete your account: go to Settings > Danger Zone > Delete Account. Delete Account is also available while family access is paused, during setup and on the email-verification screen. Records are kept as described under Data retention.
- Receipt scanning: receipt images are sent to Google Cloud Vision only when you start a scan. To stop, enter expense details yourself instead of scanning.
- Phone permissions: you can turn camera, photo, calendar, Face ID and notification access on or off at any time in iPhone Settings.
- Do Not Track: we do not track visitors over time or across other websites, so this website does not respond to browser "Do Not Track" signals.
- Other requests: for privacy questions, or to ask about, correct or delete information about you, email privacy@vivenly.app. We may need to confirm your identity before acting on a request. Some records are shared with other family members and may be kept as described above.
10. Children
Vivenly is for adults 18 and older. Children do not have their own sign-in and should not create accounts. Adults may enter information about children, including health details, documents and photos, to coordinate family care.
11. Changes to this policy
We may update this policy as the app changes. We will change the "Last updated" date above, and for significant changes we will tell you in the app or by email before they take effect.
